Cancellation Policy

Individual Occupational Therapy Sessions

All cancellations MUST be received in writing via email at info@kidshine-ot.com – EVEN LAST MINUTE CANCELS. If you call the office and speak to Terri, you must also send an email. Please DO NOT tell your child’s therapist for an advanced cancellation. There is no fee for COVID-19 exposure cancellation; however, if your child has been exposed to (or contracts) COVID-19, we will need a doctor’s note or negative COVID-19 test result before your child can resume therapy. If you cancel with less than 24 hours notice for ANY OTHER REASON, your account WILL be billed $50 per child, per cancellation. Your child will not be able to return to weekly sessions until this fee is paid. We will waive one late cancellation for a child who is sick (non COVID-19 related) but after the first cancellation, you will be charged the $50 fee. The fee for a NO SHOW will be $75 (the cost of a treatment session).  Your child will not be able to return to weekly sessions until this fee is paid.

 

More than 3 cancellations or no shows in a 3 month period will result in having your child removed from our weekly schedule and placed on a call list for appointments “as available” (unless there are extenuating circumstances). We reserve this right to place your child on a waitlist for a consistent therapy slot so that another child can have the opportunity to benefit from OT services from one of our therapists. This policy will be strictly enforced.

Bootcamp Classes, Summer Camps, and Preschool Programs

Part of what makes kidSHINE unique is our strong commitment to each child's growth, including in our group classes.  We keep group class sizes small to ensure that we can focus on each individual child in the class.  Because of our small class size, sometimes our classes fill before a parent can register their child.

Therefore, as per kidSHINE's policy for all kidSHINE programs: Once your child is registered and committed to a kidSHINE program, please note that if your child misses camp or class due to illness, vacation, last minute family schedule changes, etc we are not able to offer a refund for any missed days.  We can offer children the opportunity to come to one of our other classes (with prior notification) as a make up for a missed class or camp day.  Refunds WILL be offered if a class or camp needs to be cancelled by kidSHINE due to low enrollment.  Make up classes are also offered by kidSHINE in winter months for classes cancelled due to snow events (and make up classes for winter illness cancellations are built into the schedule for sessions that overlap school vacation weeks).  Thank you for understanding!

Recurring Cancellations

In the event 3 scheduled treatment sessions are missed without notification, or in the event of frequently missed sessions (5 or more cancellations in a 6 month period with or without advance notice), treatment sessions may be terminated.  If you cancel more than 5 appointments in a 3 month period, we reserve the right to place your child on a waitlist for a consistent therapy slot so that another child can have the opportunity to benefit from OT services from one of our therapists.  All outstanding fees and bills must be settled prior to restarting therapy.
